Database interruptions

RefWorks - Ebsco

Hi,

LATEST! - EBSCO is estimating a fix by Friday.

There are problems exporting from Ebsco databases to RefWorks at the moment. Ebsco knows about it and are working to resolve it. In the meantime there is a work around to the automatic export to refworks (there is always a workaround).

When you find your article, go to export citation as usual. Select "citations in bibtext format" from the list on the right, and then click the save button on the left. This will give you the citation, go to edit, select all, and then edit, copy (or just do this with ctrl C, etc.)

Then open up refworks and go to References --> Import.
Choose BibText in the first two boxes. Paste the citations in the second box below (the big box).
Click Import.

Widget

That darned Daylight Savings time has once again mucked up the widget. Systems is currently unable to do anything about this - basically the widget needs to be re-designed. So for this week and probably next (and up to whenever the 'old' DST kicks in), the widget is one hour off as will be our stats. Apologies all around, but it's a bit out of our control. Perhaps we can blame the U.S. Thanks to Nancy for contacting John in the first place.

Just FYI ... the centre ref desk computer won't boot this morning despite all my attempts at rebooting and unplugging etc. I've sent in a helpdesk report but don't expect action until Monday.

Early Encounters in North America - service restored

Access to Early Encounters has been restored - apparently an "accounting error" on the publisher's end knocked us out for a time, but it's all resolved now.

Early Encounters in North America

FYI - the majority of the EENA documents are also available from our national library - they've been digitized as part of the Early Canadiana Online collection (on CMAPP) - this means that they're also available on microfilm, in the CIHM collection (catalogued at title level)...

Please advise patrons of these alternatives until we get the site access restored. Thank you.

Proxy server discontinuation

A caller today reported problems accessing UVic databases using EZProxy. He had previously used the old library proxy server that was decommissioned on Dec 31/07. Despite changing his browser settings, he was unable to access Web of Science.

If the standard fixes don't work for people with similar problems (see http://gateway.uvic.ca/help/proxy_help/access.html ), here is the response from IT:
- should send their name and netlink ID to jdurno@uvic.ca
- John will forward this info to CASS so that they can be added to a list of UVic users able to access our resources
- authentication might be stricter now (this user was affiliated with UVIc, but not strictly staff or student)

RefWorks - Where Can I get this?

There is a problem exporting references to RefWorks when using the GODOT - Where Can I Get This page.
The user will be taken to the RefWorks login page and after that the export fails.
Scholar's Portal is attempting to fix this problem.
In the meantime, please ask the students to use the database functions to export citations to RefWorks.
Let me know if you have any questions.

ILL problems - weekend

Today I'm seeing a LOT of this error message, when people try to do unmediated ILLs....

"Submission of ILL request failed for http://kale.library.uvic.ca:8080/axis/servies/relais If the error persists, contact your library for assistance."

None of the Loan Desk staff or ICs I talked to have seen this before or have any idea what it means. I've sent an Email to Nancy, asking her to look into it and supply the ref desk with an answer asap. All I could do was ask the patrons to try again later and come back on Tuesday if the problem continues.

Project Euclid journals

One of the journals from this group - Revista Matematica Iberoamericana - is currently unavailable. It may be that other journals from Project Euclid (if we have 'em) are also unavailable. We were not invoiced and they cancelled our subscription. Lynne C. is working on getting our access restored. In the meantime, ordering from another library would be a good option. Stay tuned.

Ref Widget update

The ref. widget is accepting stats now. The widget has been affected by the time change, so any stats you try to record between 9 and 10, the widget thinks the time is one hour earlier (8 to 9). I've sent another message to Adrian with the latest news. Stay tuned to the blog for updates. The widget will work fine for the rest of the day although the stats, unless entered manually, will end up being one hour behind.

Noise

We received a letter from a student complaining that we're too noisy in the Reference area. I know I'm guilty of this so I'm not surprised by the student's complaint. However, I've let the student know that the reference area is a working area and that we are not deliberately going out of our way to be loud, but that often we are helping students or providing tours and that some noise is to be expected. Feel free to remind students about the silent study areas on other floors and there's always a laptop if students want to take a computer there as well. Thanks! Tracie

Printing from JSTOR

I had a patron experiencing difficulties printing a couple of articles from JSTOR. The files were around twenty pages each and were saved to the desktop in pdf format. We opened them with Adobe Reader and sent the twenty pages to the printer. We paid for the twenty pages at printer 1 yet the printer only printed ONE page each time. We tried selecting all the pages and printing the selection and guess what happened, only one page printed! We tried the same steps at printer three and it printed all twenty pages of the job, hmmm...So if a patron is having difficulties printing from JSTOR direct them to printer 3.

Update EBSCOHost databases - slow or not working

A number of people have reported slow or no response from our EBSCOHost databases over the past few days. I contacted EBSCO to see if they have had similar reports from other institutions and they had not but they have offered a couple of solutions should you encounter this problem in the future.

1. Clear the cache and history from the computer, particularly if you are using a shared machine such as the one in the Training Room.

2. If this does not help with the speed of results being displayed it was suggested to change the number in the URL that displays.

For example: when you look at the URL that displays when searching any EBSCO database you will see http://web7.epnet.com/search.asp?.....

The number you can change is the one immediately folloing the web protion of the URL. Technical support at EBSCO informed me that some ports may be having work done to them therefore you might experience a slower response time.

If you try these solutions and there is still no improvement please alert me and I will follow up with EBSCO.

ERIC and Refworks -- FIXED!!

Yay! The problems with ERIC (Ebsco) and Refworks are now fixed. I've asked Lisa to remove the message she added to ERIC the other day and I've also said to hold off on changing the Frequently Used link to the CSA version. For now it will remain as the Ebsco version unless we run into problems again. I guess this problem took over three months to resolve so I'm glad that's over. ERIC and Refworks Part 2

Lisa has included a note in the A-Z list beside ERIC (Ebsco) that says 'see below for information about Refworks'. She is looking into turning this into a link so people will know to click there for more information. In the meantime, the little "i" will get folks there. Once there you'll see a link to the work around provided by SFU

As well, I've asked to have the Frequently Used Databases link to ERIC changed to the CSA version. Adrian will follow up on this.

ERIC and Refworks

ERIC citations no longer can be exported smoothly and reliably into RefWorks from either ERIC EBSCO or from the free ERIC. ERIC CSA works as expected. The problem has existed since the last ERIC "upgrade" in March. Apparently CSA found a way around whatever change was made at the time, and that EBSCO did not.

The export from ERIC EBSCO appears to work in that the fields show up properly in the RefWorks database entry when examined, but when one tries to create a bibliography the journal title does not show up in the citation.

I would highly recommend that for now you use ERIC through CSA. We will be adding this one back to our A-Z list of databases but in the meantime if you select any other CSA database (such as Education: SAGE full text), you can then click on specific databases and find ERIC that way.

Outlook at ref desk terminals

I have just noticed that when you send patrons PDFs from the reference desk terminals, it doesn't actually send until you activate Outlook. I just went to open Outlook to have a look, and noticed some PDFs from before Christmas sitting in the queue!! I'm not sure how often people use the e-mail link to send PDFs to patrons (I use it fairly regularly), but we need to open Outlook for things to actually send. Temporarily, I suggest that whoever opens in the morning should also open up Outlook; as long as we leave it open all day, things should send properly. We can discuss this at the reference meeting (I remember ref desk procedures being an agenda item). A note keeps coming up saying that the IMAP server has closed the connection, so I will log a help desk call for this issue.

Problems with Sage Full Text Collections

There has been some difficulty with accessing the full text for select Sage titles in the Sociology and Education collections. This is related to the recent Illumina migration. We have implemented a temporary solution until CSA can resolve the problem permanently. You should now be able to access the full text for all titles. If you notice further problems, please let me know.

Imac printing

Someone asked our Systems help desk about the problems with IMac printing and Jason posted an FAQ about it, ie "FAQ Issue: Often no printing confirmation window appears when sending a print job from one of the iMac terminals. A reboot takes a long time (~5 min) and may / or may not be successful. Can anything be done about this?

Answer: Either unintentionally or intentionally the Opac Server service will be closed down (or shut down on its own). To see if this service is up / running on an iMac terminal, press the Command + Option + Esc key to bring up a "Task Manager" type window. Opac Server must be listed in this window before the iMac can print. If it does not appear then the machine can be logged off (Option key + mouse click on Apple menu ---- choose logout). This will reset the iMac. Login as user Kiosk (default) with pa

GODOT problem with placing a request

When users try and place a request using GODOT (either direct requesting or interlibrary loan), they are asked to provide "Library ID" and "pin label". This is incorrect . [providing library barcode and last name also doesn't work]. I have reported this to Nancy Stuart and hopefully it will be fixed soon.

I reported this to Danielle on Saturday afternoon.

This was the error message that I received.

"This Eureka connection attempt was not successful.

Problems with Ingenta Connect

Recently, there have been problems with saving searches or marked lists in Ingenta Connect. If users are having problems please alert them to the following:

1. They must register for a personal account in Ingenta Connect
2. They must be signed in on their personal account before they begin their search
3. To mark items, they must check off the items in the check box and then they must click on "update marked list" above the list. This will take a few minutes. If they click on Marked List too soon, the results will not be there.
4. To save searches:
-conduct a search
-click on search history
-select the search they want to save
-choose to save to a folder or as an individual item (from the drop down menu)
-click on Go.

All searches should be saved in search history, even after logging off and back on again.

I hope this helps. If there are any further problems with Ingenta Connect please let me know.

Reference Desk moved

A wooden panel fell on Laurie this afternoon while she was on the reference desk. She is alive and well but the Reference Desk is cordoned off with yellow caution tape until panels have been secured.

The two computers (Workstation #3 and Sibelius) have been seconded for reference purposes.

June Smith is on the Reference Desk tonight from 5-9 so she will have to deal with this tonight.

I'm sure that an official notice will be going out from the Acting University Librarian.

Wilson Web Databases fixed

Hi all

All 8 Wilson databases should now be fixed. The links were going to the Wilson legal database. I have changed the url's in the CMAPP database for each of the 8 Wilson databases that we have and have checked the links for each. Let me know if there is a problem.

Book Information on GODOT

I have found that when GODOT searches for books in the library - for example from MLA Int. Bibliograpy - the 910 line from the MARC record is printing out ie. FIN NEW 27 June 2003 kp The call number is on the next line. I have seen it appear several times today on different book records.
Students are trying to find the book with this information. I think we need to change this. Who is handling the GODOT material now, so I can send an example of the GODOT record .

Ref Desk Laptop is Sick

When I set up the laptop this morning it wouldn't turn on. Jerry looked at it and said that there is a problem with how it's booting up, but he didn't know offhand what the problem is, so he took it away and will have a look at it. No word on when it will be operational again. Hopefully this won't be too much of an inconvenience for us...

CABI databases

You might have noticed the disappearance of the "Where do I get this?" buttons from within the two CABI databases that we have - Nutrition Abstracts and World Agricultural and Rural Sociology Abstracts. The links didn't work properly. However CABI is upgrading their software and has tested the "Where can I get this?" functionality with the upgraded version and they appear to work. By September when the upgrade happens, the "Where do I get this?" will return and hopefully work properly.

North American Immigrant Letters, Diaries, and Oral Histories (IMLD)

The url for this database is not working. I have reported it to Lisa who will contact Sandy Gordon, because she thinks it is an ezproxy problem. Meanwhile the url without the ezproxy prefix will work for the time being for those on campus.

Strange results in PsycINFO - update

Lisa has been in touch with Chad at Ebsco and the problem of getting different search results for the same search across different platforms has now been fixed. He has tested across all platforms [I tested MAC OS9] and all seems good. I am not sure what the problem actually was.

Strange results in PsycINFO

This came to our attention because of an email that Tracie received recently. A student was getting strange results when doing the following in Basic Search in PsycINFO:

computer* and educational technology
Limit to Peer Reviewed, English and Publication Year 1985-2004

This morning when I did the search from home, I got 701 hits. I did the search again at work and got 172 hits.

I called Lisa and she will try and get clarification from EbscoHost.

ELN Databases -- intermittent access problems being experienced

Many sites have reported intermittent problems accessing various research databases today (April 8, 2004). The cause of the problem has been traced to PLNet, the intermediate network connecting most BC educational institutions to the internet.

Last night, PLNet experienced technical problems and had to switch to their back-up server. Today, we are experiencing the residual affects of this recovery - they are still working at resolving the initial problem. Connections to databases may only work intermittently or not at all. At times, you may experience problems getting to certain internet sites other than databases as well.

There is no firm timeline on the fix but the problem has definitely been reported and because most post secondary institutions in BC are affected, hopefully the resolution will come quickly.
